Payroll Coordinator
Description
BGC Saskatoon is a non-profit organization that has been providing programs and services to children, youth, and families for over 50 years. An integral part of our organization is our Finance and Administration Team and we are looking for a candidate who is passionate about our mission, enjoys a being a part of fast paced team environment, and has excellent communication and organization skills.
The Payroll Coordinator plays a vital role in ensuring the accurate and timely processing of payroll for all employees at BGC Saskatoon. This position is responsible for managing all aspects of payroll administration, including compliance with Saskatchewan employment standards and responding to payroll-related inquiries. By maintaining precise payroll records and collaborating closely with the Finance Manager, the Payroll Coordinator supports the organization's commitment to operational excellence and employee satisfaction.
The Payroll Coordinator represents BGC Saskatoon by maintaining a positive and professional attitude while upholding the organization's mission, vision, and core values. This is a full-time position (35 hours per week) that is eligible for the full benefits package provided by BGC Saskatoon and may require work outside of normal business hours to support events, meetings, and community initiatives.
The pay range for this position starts at $48,300 annually. We consider factors such as experience, education, skills, and qualifications when determining the final salary offer. Benefits include but not limited to: Health and Dental Insurance, Life Insurance, Sick Leave, Personal Days and a Group Retirement Savings Plan match program.
We anticipate a starting date no later than mid September.
Overview of Key Responsibilities
Payroll Administration
- Process bi-weekly and semi-monthly payroll accurately and on time.
- Review timesheets, employee earnings, deductions, taxable benefits, and payroll adjustments.
- Maintain payroll records and ensure compliance with payroll legislation and organizational policies.
- Prepare Records of Employment (ROEs), T4s, and other payroll-related filings.
- Update employee payroll and benefits information, including new hires, salary changes, and terminations.
- Respond to employee payroll inquiries and resolve discrepancies.
Reporting & Compliance
- Prepare payroll reports and provide payroll-related analysis as required.
- Support internal and external audits by maintaining accurate documentation.
- Ensure payroll practices comply with Saskatchewan employment standards and applicable regulations.
Administrative Support
- Coordinate office supply orders and maintain organized payroll and employee records.
- Provide administrative support for organizational programs and special projects.
Process Improvement
- Identify opportunities to improve payroll processes, accuracy, and efficiency.
- Work collaboratively with the finance leadership team to implement process and system enhancements.
Team Collaboration
- Work with managers and administrative staff to support payroll operations and organizational objectives.
Qualifications/Requirements:
- Post-secondary education in Accounting, Finance, Business Administration, or a related field; a minimum of 2 years of experience in payroll processing and benefits administration, preferably within a non-profit organization.
- Payroll Compliance Practitioner (PCP) certification or equivalent is an asset.
- Proficiency in QuickBooks or related payroll software and Microsoft Office Suite, particularly Excel; experience with Human Resources Information Systems (HRIS) is an asset.
- In-depth understanding of payroll regulations and relevant Saskatchewan employment standards.
- Excellent verbal and written communication abilities, with a focus on clarity, professionalism, and confidentiality.
- Strong organizational and time-management skills, capable of managing multiple tasks and meeting strict deadlines.
- High degree of accuracy in data entry, record-keeping, and financial reporting.
- Demonstrated ability to identify issues, analyze data, and develop effective solutions.
- Commitment to maintaining the highest standards of confidentiality regarding employee information and organizational data.
